This privacy policy explains how Entria Live (“we”, “us”), a product of Funasmedia Limited, handles personal information when you visit our website, create an organiser account, use the guest desk, or appear on an event guest list.

Who we are

Entria Live is operated by Funasmedia Limited, based in 48 Chuckers Row, Wallyford, Musselburgh EH21 8JP, serving organisers across the United Kingdom and Europe. For privacy questions, contact us at entrialive@gmail.com or via the contact form on our website.

Information we collect

• Organiser and helper accounts, name, email, phone (if provided), password (stored hashed), and payment or licence status for events. If you sign up or sign in with Google, we receive your name, email address, and Google account ID from Google.
• Payout details, for organisers selling tickets, the account name and bank details you give us so ticket income can be paid out.
• Event and guest data, event names, guest names, check-in codes, phone numbers, email addresses, and arrival or messaging status that organisers add, or that guests submit through an open registration link or when buying a ticket.
• RSVP replies, on private events, whether a guest is attending or not, and when they replied.
• Access cards, on public events, we create a PDF access card with the guest’s name, event details, QR code, and check-in code, and email it to that guest.
• Website and support, messages sent through contact or newsletter forms, basic technical logs needed to keep the service secure and reliable, and anonymous website visit statistics (page path and approximate activity time) used on the staff dashboard to understand public traffic. These visit records use a temporary browser cookie and do not identify you by name.
• Payments, checkout is handled by our payment provider. We receive confirmation and reference details needed to unlock an event licence or process ticket sales; we do not store full card numbers on Entria Live.

How we use information

• To provide check-in, guest lists, desk tools, messaging credits, and related organiser features.
• To process payments, activate licences, handle ticket checkout and organiser payout records, and respond to support requests.
• To send service messages (for example account, payment, or security notices) and, where you opt in, occasional product updates.
• To protect the platform against abuse, fraud, and technical failure.

Cookies and location

• A sign-in cookie keeps you logged in, and a temporary cookie counts anonymous website visits.
• When you choose a country on entria.live, a cookie remembers that choice for 30 days so you go straight to the right site.
• If you have not chosen, we use your IP address to estimate your country and suggest the right site. The estimated country is kept for up to 24 hours; we do not track your precise location.

Public event pages

Public events can be listed on the Entria Live events page and may appear in search engines such as Google. A listed page shows event details such as the name, date, venue, pictures, and tickets. Guest names and contact details are never shown publicly. Organisers can remove an event from the listing at any time.

Guest lists and organisers

Organisers control the guest data for their events. Guests should treat the organiser as the primary contact for questions about why they were added to a list, invitations, or attendance. Entria Live processes that data to run the service the organiser has paid for.

Sharing

We do not sell personal information. We may share data with:

• Service providers who help us host, send email or SMS, process payments, or deliver the product, only as needed for those tasks. These include Stripe (card payments and ticket sales), Mailgun (email), our SMS provider, and Google (if you use Google sign-in).
• Authorities when the law requires it, or to protect rights, safety, and the integrity of the service.

Retention

We keep account and event data while the service is used and for a reasonable period afterward for backups, disputes, legal duties, and security. Suspended events keep guest records so they can be restored if the event is reactivated. Organisers can ask us about deletion or export of their workspace data.

Security

We use industry-standard safeguards such as encrypted connections, hashed passwords, and access controls. No online service is perfectly secure; please use a strong unique password and keep helper access limited to people you trust.

Your choices

Depending on your role, you may update account details, opt out of marketing email, or request access, correction, or deletion where the UK GDPR, EU GDPR, or other applicable law gives you those rights. Guests should usually start with the event organiser. Guests can change an RSVP reply until the event using the same link in their e-invite. You can also contact us at the email above.

Your agreement

When you create an account, you tick a box to confirm you agree to our Terms of use and this policy, and consent to Entria Live using your details to create and manage your account.

Children

Entria Live is aimed at event organisers and adult users of the desk. It is not designed for children to create accounts.

Changes

We may update this policy from time to time. The “Last updated” date at the top will change when we do. Continued use of Entria Live after an update means you accept the revised policy.
